To help you remember to run Prepare for Payroll in a timely manner, you can enable pay cycle notifications. When the conditions defined for these notifications are met, a warning message is displayed on the Home tab. You can also configure ezLaborManager to e-mail notifications to selected individuals.

Two types of pay cycle notifications are generated by ezLaborManager:

Warning - The end date of the next pay period is near, so you should run Prepare for Payroll and Move to Next Pay Period as soon as possible. If these tasks are not performed by the date displayed in the Next Period End column, ezLaborManager will no longer be able to accept timecard data.

ERROR - The date in the Next Period End column has passed. Time cannot be reported for dates after the next period end date, so employees cannot enter their daily time. Various ezLaborManager processes have also been disabled and will not run until you move the pay cycle to the next pay period.

To configure pay cycle notifications:

  1. From the Manager Home page, click the Prepare for Payroll icon. For each pay cycle listed on the page that opens, the current status of pay cycle notifications is displayed next to Notification Options. The status can be Enabled or Disabled.

  2. For the pay cycle for which you want to configure pay cycle notifications, click the options link next to Notification Options. The Pay Cycle Notification Options page opens.

  3. If you want to enable pay cycle notifications, select the Notifications Enabled check box. When this check box is selected, notifications are displayed on the Home tab in Administrator Services whenever the pay cycle is out of date.

    Note: If you want to disable pay cycle notifications, clear the Notifications Enabled check box and then click the Submit button. You do not need to perform the rest of the steps in this procedure.

  4. In the E-mail Addresses of Notification Recipients field, enter an e-mail address, select the recipient's preferred culture from the drop-down menu, and then click the Add button. The page refreshes with the e-mail address added to the list of e-mail recipients. Repeat this step to add other e-mail recipients. Each address will receive a pay cycle notification when the pay cycle is out of date.

    Note: Entering an e-mail address is optional. If you do not enter an e-mail address, notifications are still displayed under the Administrator Notifications section on the Administrator Services Home tab.

  5. If you need to remove an e-mail recipient, click the recipient's e-mail address and then click the Delete button. The e-mail address is removed from the list of recipients.

  6. If you want to change the threshold at which Warning messages are generated, enter in the Start Notifications text box the number of work days prior to the next pay period end date that you want Warning messages to begin.

    Notes:
    This setting only affects when Warning notifications are generated for the pay cycle. The threshold for ERROR messages is always the next pay period end date.

    The value entered in this text box represents work days, not total days.

  7. Click the Submit button.
