Viewing and Editing Recurring Schedule Templates
As an administrator, you can view and edit the recurring schedule templates that have been defined for your company. A recurring schedule template is a predictable, repeating, weekly or multi-week schedule that administrators and supervisors can use to quickly assign employees to common schedules. At a minimum, a recurring schedule template defines employee in and out times for each day during the recurring schedule. A recurring schedule template can also specify an earnings code, lunch plan, shift rule, Flextime rule and up to two labor charge category values for each regularly scheduled time pair in the template.
To view and edit the recurring schedule templates that have been defined for your company:
4 Click the Home tab.
5 Under the Home tab, click the Recurring Schedules link. The Recurring Schedules page opens and displays the name and description of each recurring schedule template that has been defined for your company.
6 To view the details of a recurring schedule template, click the template name in the Recurring Schedule column. The Recurring Schedule page opens and displays all of the properties and scheduled time pairs for the selected template. If you want to make changes to the recurring schedule template, continue with the steps below.
Tip: You can use the Search Options tools at the top of the Recurring Schedules page to search for the name or the description of the template you want to view and/or edit.
7 If necessary, edit or replace the description in the Description field.
Notes:
The name of the recurring schedule cannot be changed.
The text entered in the Description field will be displayed in the Recurring
Schedule Lookup window and can help administrators
and supervisors determine
which template to select when assigning schedules.
If your company supports more than one language, edit the descriptions
in the text box for each language.
8 If you want to change the start date for the template, click the button in the Start Date field and select the earliest date on which you want the template to be applied to employee schedules.
Note: The Start Date limits which dates on an employee's schedule the template can be applied to. It does not restrict when administrators and supervisors can view or assign the recurring schedule. Administrators and supervisors can view and assign a recurring schedule any time after its template has been created. For example, if the Start Date defined for a recurring schedule template is July 6, 2009, an administrator or supervisor can only assign an employee to begin working that schedule on or after July 6, 2009. The administrator or supervisor can record the recurring schedule assignment at any time (even before July 6, 2009), but the schedule cannot be applied to any dates before July 6, 2009, on the employee's schedule.
9 To hide a recurring schedule, select the Hide check box.
Note: You can hide a recurring schedule so it no longer appears in the recurring schedules list lookup. Hiding schedules makes it easier for your supervisors to locate and assign the correct schedules to employees.
10 If you want to delete one or more rows from the recurring schedule template, select the check box in the Delete column for each row you want to delete.
11 Edit the individual schedule rows and/or add new rows as necessary. For information about the fields in each row and how to define different types of schedules, see Creating a New Recurring Schedule Template.
12 After you have entered
all of your edits for the recurring schedule, click the Submit
button.
The Recurring Schedules page opens with the edited template displayed in
the list of recurring schedules. Any changes you have made to the recurring
schedule template will be reflected immediately in the schedules of employees
who have been assigned
to the recurring schedule.
Note: As an administrator, you can also create new templates and delete existing templates.
