Viewing Payroll Distribution Information for a Time Pair
In some circumstances, your employees' timecards may include time pairs that have unusual earnings code distributions and/or payroll adjustments. For example, your company may have a policy of paying an overtime rate for hours over a certain daily threshold. In this case, a single time pair might be distributed to a "Regular" and an "Overtime" earnings code.
To check the earnings code distribution of a time pair or payroll adjustment:
From the Manager Home page, click the Timecard Manager icon. You can also use the Group Labor page to view payroll adjustments.
If necessary, use the employee filter button () to limit or change which employees are displayed.
If necessary, use the Date drop-down menu to select a different time period to view.
Tip: If you are using the Group Labor page, it is intended to provide a summary of recent time pair information only, so the available Date options are limited to Yesterday, Today, Tomorrow, Last Week, This Week, and Next Week. If you want to view time pair information outside of this range, use the Timecard Manager.
Click the button to the left of the time pair for which you want to view distribution information.
A Distribution page will open and display the information described in the table below.
Earnings Code |
The earnings code or codes associated with the time pair. |
Pay Date |
The date of record for an employee's time pair or payroll adjustment. In most cases, the pay date will be the actual date the employee worked. However, for payroll adjustments, the pay date will usually be the date on which the adjustment was entered. Since payroll adjustments are made to correct errors in previous pay periods that are already closed, the pay date usually does not correspond to the date for which the employee is actually being paid. Note: The pay date does not necessarily correspond to the exact day the employee will receive payment. In most cases, the employee will be paid for a time pair or adjustment at the end of the pay period that contains the pay date associated with the time pair or adjustment. |
Adjusted Transaction Date |
The date of the event that caused the need for the payroll adjustment being viewed (for example, the date for which the employee was underpaid or the employee’s time pair was not recorded). The adjusted transaction date will usually be in the previous pay period or an even earlier pay period, since errors in the current and next pay periods can usually be corrected in the Timecard Manager before payroll is run and thus would not require an adjustment. Note: This column only applies to payroll adjustment records. |
Hours |
The total number of hours distributed to each earnings code. |
Redistributed Hours (optional feature) |
The total number of redistributed hours. This optional feature allows you to initially approve an employee’s worked overtime hours, then take the hours back if the employee does not meet the minimum hours required for the work week. This ensures that an employee works his or her complete schedule during the week and is a measure to reduce overtime pay. |
Final Hours (optional feature) |
The total number of redistributed hours subtracted from the hours column. |
Pay Rate |
The rate of pay the employee receives for each earnings code. Note: This column will only be visible if your company allows supervisors to view employee rates. |
Dollars |
The monetary total the employee earned, based on the hours and pay rates for the earnings codes. Note: This column will only be visible if your company allows supervisors to view employee rates. |
Separate Check Request |
The method by which a payroll adjustment is to be paid. If a check mark appears in this column, a separate check will be generated for the payroll adjustment. If the column is blank, the payroll adjustment will be made to the employee's regular paycheck. Note: This column only applies to payroll adjustment records. |
Notes:
This payroll distribution information is also displayed at the bottom of
the Time Pair Detail window. To open a Time Pair Detail window, click
the time pair's status icon from the Timecard Manager.
You can also use the Payroll Summary
feature to view an employee's total hours per earnings code for periods
that span beyond one time pair. If you access the Payroll Summary from
the Timecard Manager, you can view an employee's earnings by earnings
code for any pay period. To view payroll summary information for a period
of up to 31 days, define the date range in the Single Employee Timecard
Manager and then click the Payroll Summary link.
