The Time & Attendance module provides you with default wording for the text of each Inbox message and e-mail message. However, you have the option to edit this text, if desired. You can also revert to the default wording for a message at any time:

To edit the wording of an Inbox or e-mail message:

  1. From the Time & Attendance menu, select Setup.

    Note: If the Setup option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the General heading on the Setup page, click the Inbox and E-mail Notifications link. The Inbox and E-mail Notifications page opens.

  3. In the Notification Type column, click the notification you want to edit.

  4. On the Edit Notification: Name of Notification page (where Name of Notification is the name of a specific notification type), click the Inbox or E-mail menu item on the left side of the page. The page for editing the content of Inbox or E-mail messages opens.

    Note: For Pay Cycle Messages, you can only edit the text for e-mail messages. You cannot edit the text that is displayed in the Administrator Notifications section.

  5. From the Language drop-down menu, select the language in which you want to view and edit the message.

    Notes:
    By changing this setting, you are not selecting the language in which the message is sent. You are only selecting the language in which you view and edit the subject and message fields of the Inbox or e-mail message.

    When you select a language, the text in the Subject and Message Body fields changes to reflect your selection.

  6. In the Inbox Message Editor or E-mail Editor section, edit the text in the Subject field.

    Notes:
    You can enter and delete text just as you would in any text editor. You can also select fields to insert from the Insert Field drop-down menu. Fields are displayed in capital letters and enclosed in curly brackets. The curly brackets and the text inside them is replaced with an appropriate value when a message is sent. For example, if you select {EMPLOYEE FIRST NAME}, the first name of the employee receiving the message is entered in the location of the field in the message.

    If you make a mistake or want to cancel your changes, click the Reset button to the right of the Subject field to restore the text to the last saved version of the text. You can also click the Reset Default button to restore the text to the original default version of the text.

  7. Edit the text in the Message Body field.

    Notes:
    The procedures for entering text and using fields in the Message Body area are similar to those for the Subject area, except that you can apply some basic formatting. Use the following HTML codes to bold, italicize, or underline a word:

    - To apply bold, type <b> and </b> around the word or words that you want to bold. For example, "You <b>must</b> enter this information...." In this sentence, the word "must" will be displayed in a bold type.

    - To apply italics, type <i> and </i> around the word or words that you want to italicize. For example, "You <i>must</i> enter this information...." In this sentence, the word "must" will be displayed in italicized type.

    - To apply underlining, type <u> and </u> around the word or words that you want to underline. For example, "You <u>must</u> enter this information...." In this sentence, the word "must" will be underlined.

    In the Message Body area, you can use field placeholders in the message body and use the Reset button or Reset Default button to cancel or reverse your changes.

  8. To preview how the message will appear when it is sent, click the Preview Inbox Message Format or Preview E-mail Format link.

    Note: Sample data is displayed based on the text and fields you entered. If you need to edit the message further, click the Preview Inbox Message Format or Preview E-mail Format link to close the preview, and then make any needed changes in Subject and Message Body fields. You can then click the Preview Inbox Message Format or Preview E-mail Format link to re-open the preview and view the changes.

  9. When you are satisfied with the appearance of the message, click the Submit button.
