If you are a practitioner and you have the necessary authorization, you can assign employees to security groups. Security groups control access to employee records in the Time & Attendance module. Each employee is assigned to one or more security groups. Practitioners or managers can then view an employee's records when they have been assigned access to the employee's security group. To assign employees to security groups:

  1. From the Time & Attendance menu, select Maintenance.

    Note: If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Employee heading on the Maintenance page, click the Employee Positions (or Employees) link.

  3. On the Employees page, click the Select button (next to the Find button). The Employee ID Lookup window opens. Select the employee you want to assign to security groups.

  4. In the Employees section, click the Employee Security menu item on the left side of the page. The Security section displays all security groups to which the employee currently belongs. If the employee has not been assigned to any security groups, this section is blank.

  5. Under the Security section, click the Add additional Security Groups link.

  6. On the Security Group Lookup page, select the check box for each security group to which you want to assign the employee.

  7. Click the Submit button. The security groups you selected are displayed in the Security section of the Employees page.

  8. In the Start Date column for each security group that you selected, the current date is automatically entered in the Start Date field. This date indicates when the employee will begin being a member of the security groups. To change this date, click the Select Date button next to the Start Date field for each security group and then select a different date.

    Note: If needed, you can also enter an end date on which you want the employee to stop being a member of each security group. To do this, click the Select Date button next to the End Date field and then select a date. If you want the employee to be a member of a security group indefinitely, do not enter a date in the End Date field.

  9. Click the Submit button.

    Note: To view the names of all users who can access the employee's records in the Time & Attendance module, click the View Employee - User Security Group Assignments link on the right side of the page.
