The End of Period page allows you to see at a glance basic information about all of your company's pay cycles. This page also serves as the starting point for performing the End of Period Operations step-by-step or automatically. If you have enabled pay cycle notifications for any of your company's pay cycles, the End of Period page also displays warning and error messages when End of Period Operations need to be performed to bring a pay cycle up to date. Any pay cycle notifications that are enabled are also displayed in the Practitioner Notifications section of the Practitioner Home page.

To view pay cycle information:

  1. From the Time & Attendance menu, select the End of Period link.

    Note: If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. The following table describes the information displayed in each column of the End of Period page.

    Pay Cycle column

    Displays the description and ID of each pay cycle used by your company.

    Run End Of Period column

    Provides links to run End of Period operations step-by-step or automatically.

    Note: End of Period Operations cannot be started if a pay cycle is currently being moved. If a pay cycle has the status "Move Pending," the Step-By-Step and Automatically links are displayed in black and do not function as links to the End of Period Operations page. After the move has been completed (or has failed), you can again access End of Period Operations by clicking the Step-By-Step or Automatically link.

    Status column

    Indicates the status of the pay period, which is one of the following:

    • Open - The pay cycle is in an unlocked state and is fully available to all users for editing.

    • Locked - The pay cycle has been locked to allow End of Period Operations to be performed. Only users with special pay cycle access can edit pay cycle data.

    • Move Pending - End of Period Operations have been completed and pay period data for the current pay period is being moved into history. End of Period Operations cannot be accessed or performed while a move is pending.

    • Move Failed - End of Period Operations have been performed for the current pay period, but an error has prevented the pay period from being moved successfully. The pay period remains locked and can only be edited by users with special pay cycle access. Consult any onscreen messages or contact your ADP Time & Attendance Representative for information about how to fix the errors so that the pay period can be moved successfully.

    Status column (Warnings and Errors)

    A second sub-column under the Status column also appears if you have enabled pay cycle notifications for the pay cycle and a pay cycle requires attention. This column can contain the following notifications:

    • Warning - The end date of the next pay period is near, so End of Period Operations should be performed as soon as possible. If End of Period Operations are not performed by the date displayed in the Next Period End column, the Time & Attendance module will no longer be able to accept timecard data.

    • ERROR - The date in the Next Period End column has passed. Time cannot be reported for dates after the next period end date, so employees cannot enter their daily time. Various Time & Attendance module processes have also been disabled and will not run until the pay period is moved forward.

    Notes:
    By default, the threshold for the Warning message is 3 days before the next period end date, but you can define a different threshold value.

    If a Warning or ERROR indicator appears in the pay cycle list, a note explaining the reason for the notification also appears at the bottom of the page.

    Current Period column

    Displays the start and end date for the current pay period.

    Next Period End column

    Displays the end date for the next pay period. If End of Period Operations are not performed by this date, employees will not be able to record their time after this date.

    Frequency

    Displays the frequency of the pay cycle. Common pay cycle frequencies are weekly, bi-weekly, and monthly.

    Notification Options

     

    Indicates whether pay cycle notifications have been enabled. Click the link in this column to open the Pay Cycle Notification Options page to edit, enable, or disable warning and error messages about out-of-date pay cycles.

    Note: If the status for a pay period is locked, but the end date of the current pay period has not yet been reached, the pay period may have been locked inadvertently. If you need to unlock the pay cycle so that employees can continue to record their time through the end of the pay period, click the locked pay cycle name on the End of Period page and then click the Unlock Pay Cycle button on the End of Period Operations Step 1 page.
