As a practitioner, you can view all existing export templates and create new templates as necessary. Templates define what data is exported from the Time & Attendance module and how it is formatted. You must use templates to export data.

To view existing export templates:

  1. From the Time & Attendance menu, select Maintenance.

    Note: If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Payroll heading on the Maintenance page, click the Exports link.

  3. On the Exports page, click the Export Templates menu item on the left side of the page.

    Note: The Export Templates page lists all existing export templates. For each template, the template ID, description, type, format, user contact, and e-mail contact are listed. You can create new time and attendance export templates or accrual export templates as necessary.

  4. To view additional details about a template, click the Template ID in the Template ID column. In addition to the information that appears on the Export Template page, the following information appears on the Template Detail page:

    Template ID

    Displays the template ID that was entered when the template was created.

    Template

    Displays the system-generated identification number for the template.

    Description

    Displays the text describing the template that was entered when the template was created. A description is displayed for each culture supported by your company.

    Type

    Displays the type of data imported by the template. This value can be Payroll or Accrual.

    Format

    Displays the ADP payroll application for which the template is formatted. If the template is formatted for a non-ADP application, ASCII Delimited or ASCII Fixed is displayed.

    User to Receive Inbox Message on Completion

    Displays the user who will receive an Inbox message when the export is complete. To change the currently selected user, click the Select button. In the User Lookup window, select an user. This field is blank if a user was not entered when the export template was created.

    E-mail Address for Additional Notification of Completion

    Displays the e-mail address to which a notification is sent when an export using this template is completed. You can edit the e-mail address, if desired. This field is blank if an e-mail address was not entered when the export template was created.

    Pay Cycle

    Displays the pay cycle that is exported.

    Payroll Approval Required

    Displays whether payroll approval is required in order for employees' transactions to be exported.

    Manager Approval Required

    Displays whether manager approval is required in order for employees' transactions to be exported.

    Payroll Export Contents

    Displays whether projected payroll data is exported with or without reconciliation adjustments, or whether only reconciliation adjustments are exported. This information only appears if a projected pay cycle was selected when the template was created. If a projected pay cycle was not selected when the template was created, the following message appears in this field: "Projected Payroll is disabled for this Pay Cycle."

    Summarize by Department

    Displays whether employee data is listed by department in the exported file. This field only appears if ADP Pay eXpert, ADP Horizon, or ADP PCPR is selected as the export format.

    Include and Summarize Rate

    Displays whether rates are included in the export for employees who have worked for more than one department. This field only appears if ADP Pay eXpert, ADP Horizon, or ADP PCPR is selected as the export format.

    Summarize by Department and Job

    Displays whether employee records are listed in the export by both department and job. This field only appears if ADP Pay eXpert, ADP Horizon, or ADP PCPR is selected as the export format.

    Loan Time Approval Required

    Displays whether loan manager approval is required in order for loan employees' transactions to be exported.

    Export Layout

    Displays a View link that opens a preview of how the data will be laid out in the export. This option is only available for payroll exports using the ASCII Delimited or ASCII Fixed format.

    Batch Number

    Displays the export batch number. If a batch number was not entered when the template was created, this field is blank.
