As a practitioner, you can view all existing import templates and create new templates, as necessary. Templates define what data is imported and how it is imported in to the Time & Attendance module. You must use templates to import data.

To view existing import templates:

  1. From the Time & Attendance menu, select Maintenance.

    Note: If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Imports heading on the Maintenance page, click the Imports link.

  3. On the Recent Imports page, click the Import Templates menu item on the left side of the page. The Import Templates page opens and displays all existing import templates. For each template, the template ID number, template description, type of template, format, default import file path, user ID contact, and e-mail contact are listed.

  4. To view additional details for a template, click the template ID number in the Template column. In addition to the information that appears on the Recent Imports page, the following information appears on the Template Details page:

    Template

    Displays the template ID number.

    Template ID

    Displays the template ID name.

    Description

    Displays the description that was entered when the import template was created.

    Type

    Displays the kind of import the template is set up to perform (department, security group, or employee, for example).

    Format

    Displays the format used to import data. Possible entries in this field are ASCII Delimited, ASCII Fixed, or Delimited with Header.

    Current Import File

    If a path to the import file was entered when the template was created, the path appears in the Current Import File field. If you want to change the import file path, you can edit this field, as necessary, and then click the Submit button.

    Import File

    You can also change the path that appears in the Current Import File field by entering a path in this field. To do so, enter the new path in this field, or click the Browse button to locate and select an import file. Click the Submit button when you are done.

    User to Receive Inbox Message on Completion

    Displays the user who will receive an Inbox message when the import is complete. To change the selected user, click the Select button. In the User Lookup window, select a different user. The Inbox message includes the number of records added, the number of records updated, and the number of records skipped due to errors. This field is blank if a user was not entered when the import template was created.

    E-mail Address for Additional Notification of Completion

    Displays the e-mail address to which an e-mail message is sent when the import is complete. The e-mail message includes the number of records added, the number of records updated, and the number of records skipped due to errors. This field is blank if an e-mail address was not entered when the import template was created.

    Create User

    Displays whether user accounts are automatically created for employees when this import template is used. If user accounts are automatically created, the Time & Attendance module creates a user ID and password identical to the employee ID for each new employee included in the import. This field only appears if Employee is selected as the import type.

    Override Employee Accruals

    Displays whether employees' existing accrual totals are replaced with accrual totals from the imported file. If accrual totals are not replaced, accrual totals from the imported file are added to existing accrual totals. This field only appears if Employee is selected as the import type.

    Update Permanent Employee Group

    Displays whether employees' existing security group assignments are replaced with security groups assignments from the imported file. If security group assignments are not replaced, security group assignments from the imported file are added to existing security group assignments. This field only appears if Employee is selected as the import type.
