Your company may create parent-child associations between labor charge fields and values. For example, your company may allow employees to charge their labor to certain Tasks that are assigned to specific Projects. In this case, if a user selects a specific Project and then clicks the Task lookup button to select a Task, only the Task values assigned to the selected parent Project will be available in the lookup window.

As a practitioner, you cannot establish hierarchies between labor charge fields. This configuration is done by your ADP Time & Attendance Representative when your database is first set up. You can, however, create relationships between the specific values allowed within the parent and child labor charge fields configured for your company. In the example above, your ADP Time & Attendance Representative would configure your Time & Attendance module so that Task is a child labor charge field of the parent field Project. As a practitioner, you could define relationships between specific parent Projects and child Tasks.

The topic below describes how to create parent-child relationships between specific labor charge values. The procedure described assumes that the individual labor charge values have already been created, as described in Creating New Labor Charge Values, and that your ADP Time & Attendance Representative has defined a hierarchical relationship between the labor charge fields.

To create a parent-child relationship between labor charge values:

  1. From the Time & Attendance menu, select Setup.

Note: If the Setup option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Labor Charge Fields heading, click the parent labor charge field for which you want to add child values.

A Labor Charge Values page (where Labor Charge is the name of the labor charge field you selected) opens and displays the labor charge values that have been defined for the labor charge field you selected.

Note: If no labor charge values are listed, click the Add New button and create a new parent value before continuing to the next step. See Creating New Labor Charge Values for step-by-step instructions.

  3. On the Labor Charge Values page, click the link in the ID column for the parent value for which you want to create child values.

A Labor Charge page (where Labor Charge is the name of the labor charge field you were viewing) opens and displays the properties of the specific value you selected. An informational message near the top of the page indicates that the labor charge field is part of a hierarchy and identifies the parent and child labor charge fields (for example, ”This Labor Charge Field is defined in a hierarchy. Project is the parent and Task is the child”).

  4. On the Labor Charge page, click the name of the child labor charge field in the menu on the left side of the page. A table lists the child values, if any, that have already been associated with the parent value you selected.

Note: If the menu is not visible, click the Show Menu button to show the menu. If neither the menu nor the Show Menu button is visible, the labor charge you have selected is not configured to accept child labor charge values.

A hierarchy can have more than two levels. For example, Job could be the parent of Project and Project could be the parent of Task. Only one level of the hierarchy (that is, one parent and one child field) can be viewed from the Labor Charge page.

  5. Click the Add More Children link.

A Children Lookup window displays a list of the existing labor charge values that can be defined as children of the selected parent value. This list initially contains all of the active and effective values that have been defined for the child labor charge field and that have not already been associated with the parent value you are editing.

Tip: You can use the Search Options tools to narrow the list of available child values. If no values appear in the Children Lookup window, no values have yet been defined for the child labor field or all of the defined values have already been associated with the parent you are trying to configure. If you need to create new child labor fields, click Cancel and then perform the steps in Creating New Labor Charge Values.

  6. Click the check box to the left of the ID for each labor charge value you want to define as a child of the selected parent. To select all of the available values, click the check box in the header row.

  7. Click the Done button. The lookup window closes and the selected values are listed as children on the Labor Charge page for the parent.

Notes:
Once a child labor charge value has been associated with a parent labor charge value, users will not be able to select the child value unless the parent value has already been selected.

As a practitioner, you can also remove existing parent-child labor charge value associations.
