The TimeZone labor charge field appears on the Setup tab in the Practitioner role and is used to define an employee's home time zone. The procedure for creating new values (time zones) for use in this special labor charge field differs slightly from the standard procedures for creating labor charge field values.

To create new time zone values for use in employee records:

  1. From the Time & Attendance menu, select Setup.

    Note: If the Setup option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Labor Charge Fields section, click the TimeZone link. A TimeZone Values page opens and displays the time zones that have already been defined.

  3. On the TimeZone Values page, click the Add New button. A blank TimeZone page opens.

  4. In the TimeZone field, enter a TimeZone ID. This field is required.

    Tip: The TimeZone ID is a code consisting of up to 25 letters and/or numbers that a user will enter into the TimeZone field on Employees Positions (or Employees) page in the Practitioner role. It is helpful to make the ID short and easy to remember.

  5. In the Description section, enter a brief description of the TimeZone value in each language supported by your company. This field is required. Both the ID and the description will be displayed in the TimeZone Lookup window used to select a time zone for an employee.

  6. In the Start Date field, click the Calendar Lookup button and select the date on which you want the new TimeZone value to become available for use.

  7. In the End Date field, click the Calendar Lookup button and select the last date on which you want the new TimeZone value to be available for use.

    Tip: Entering a start date and end date is not required. TimeZone values without start and end dates defined are always available if the Active check box is selected. If a start date is defined for a TimeZone value but no end date is specified, the value will be available indefinitely after the start date has passed, as long as the Active box is checked. If an end date is defined but no start date is given, the value will be available until the end date has passed, as long as the Active box is checked.

  8. Select the appropriate time zone from the Time Zone drop-down menu.

  9. If you do not want the new TimeZone value you are creating to be immediately available for use, click the Active check box to remove the check mark.

    Notes:
    The Active check box allows you to make a TimeZone value unavailable without deleting it permanently. When you use the Add New button to create a new TimeZone value, the Active box is checked by default.

    If the Active check box is selected and no start and end dates are defined, the TimeZone value is always available for use. If the Active check box is selected and start and end dates are defined, the TimeZone value is only available during the specified date range.

  10. Click Submit to save the new TimeZone value.

Note: You can also use the Copy button on the TimeZone Values page or the Copy button on a TimeZone page to create a new TimeZone value based on an existing TimeZone value.
