As a practitioner, you can assign security group access to users. When you assign access to a user, the user can view and edit the records of all employees who belong to the security group. Note that assigning a user access to a security group does not make the user a member of the group. It only allows the user access to the records of the employees who are members of the group.

To assign security group access to users:

  1. From the Time & Attendance menu, select Setup.

    Note: If the Setup option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Users heading on the Setup page, click the Security Groups link. The Security Groups page opens, which lists all security groups defined for your company.

  3. In the Security Group ID column, click the security group for which you want to assign access to users. The Security Group page opens with the Users tab selected. The Users tab lists all users who currently have access to the security group.

  4. Click the Assign additional users link. The User ID Lookup window opens.

    Tips:
    The User ID Lookup window lists only users to whom you have access. The list is sorted alphabetically by last name. To change the sort order of the list, click the First Name or User ID column headings.

    To search for a specific name in the list, select Last Name from the Column drop-down menu, enter a last name in the Search field, and then click the Search button. (You can also search by User ID or First Name.) The search setting that you select from the Column menu is saved as your search preference for all user lookup windows until you change it and perform a new search.

  5. On the left side of the User ID Lookup window, select the check box for each user whom you want to have access to the security group and then click the Done button.

    Notes:
    When you click the Done button, you are returned to the Security Group page. For each user you selected, the Start Date field is automatically filled in with the current date. The date in this field indicates when a user can begin accessing the employees in the security group. If needed, you can change the start date by clicking the Select Date button and then selecting a different date.

    You can also enter an optional end date on which the user will stop being able to access the employees in the security group. Click the Select Date button next to the End Date field and then select an end date. If you want the user to have access to the security group indefinitely, do not enter a date in the End Date field.

  6. When you have selected all users you want to have access to the security group, click the Submit button.
