When your payroll administrator begins processing payroll for a pay cycle, he or she will lock the pay cycle so that no further changes can be made to employee timecard data for that pay cycle. In some special circumstances, however, a practitioner user may need to be able to modify this data after the pay cycle has been locked. For example, a practitioner may need to edit a time pair that is causing an exception that is holding up payroll processing. As a practitioner, you can assign other practitioners permission to access locked pay cycles.

Notes:
If a user has access to a locked pay cycle, he/she can make changes until the pay cycle is rolled. After payroll has been processed and the cycle has been rolled, any changes to the closed pay period must be made with a payroll adjustment.

Practitioners who do not have access to locked pay cycles can still view data for locked pay cycles, but they will receive an error message if they attempt to edit data for that cycle.

To configure access to locked pay cycles:

  1. From the Time & Attendance menu, select Maintenance.

    Note: If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Employees heading, click the Employee Positions (or Employees) link.

  3. On the Employee Positions page, select the user whose access to locked pay cycles you want to configure. All users to whom you have access are listed.

  4. On the Employee Positions page, expand the Access Details section, and then click the Pay Cycle Access menu item on the left side of the page.

  5. Note: All pay cycles to which the user already has access are listed. If no pay cycles have been assigned yet, the list is blank.

  6. If you want to delete a user's access to a locked pay cycle, select the check box in the Delete column next to the pay cycle you want to delete, and then click the Submit button.

  7. To assign the user access to other locked pay cycles, click the Add additional Pay Cycles link.

  8. On the Pay Cycle Lookup page, select the check box next to each pay cycle to which you want to give the user access, and then click the Done button.

    Note: To select all pay cycles in the list, click the check box to the left of the Pay Cycle heading, and then click the Done button.

  9. On the User page, click the Submit button.
