You can use the Quick Charge feature to assign portions of existing time pairs to different labor charge categories and/or earnings codes. Quick Charge will split the time pair at the time you specify and assign the reported time that falls after the split to the labor charge categories and/or earnings code you specify. You can split the time pairs of multiple time-based employees at once.

To split a time pair to record a change in labor categories (such as department, job, etc.) and/earnings code:

  1. From the Time & Attendance menu, select Timecards.

    Note: If the Timecards option is not visible, make sure that you have selected Manager in the Role Selector.

  2. Near the top of the Group Labor page, click the Quick Charge link.

  3. In the upper right corner of the Recent Quick Charge Requests page, click the New Request link.

  4. On the New Quick Charge Request Step 1 page, select the Perform Labor Charge radio button.

  5. In the Pay Group box, enter a valid pay group code (or use the Lookup button to select one).

    Tip: Quick Charge can only be used with time-based employees, so select a time-based pay group.

  6. Click the Next button.

  7. On the New Quick Charge Request Step 2 page, select the employees to whom the labor charge will be applied. To select an employee, click the employee's name in the Employee List box and then click the Right Arrow button to move the employee to the Selected Employees box.

  8. In the Charge Time date and time boxes, enter the date and time at which the labor charge categories and/or earnings code you will specify should be applied.

    Tips:
    The charge date and time default to the current date and time.

    You can use the Calendar Lookup button to select the date from a calendar.

    When you submit the Quick Charge request, the Time & Attendance module splits any time pairs that span the charge time and that were entered from a timeclock or by using the clocking buttons. If the time pairs were entered on the Timecard Manager or were edited prior to submitting the Quick Charge, the time pairs will not be split. (In this case, you will need to manually enter the time pairs.) For each employee, the new labor charges and/or earnings code will be applied to the latter of the two time pairs created by the split. If a selected employee does not have an existing time pair that spans the charge time, a new time pair will be opened using the specified charge time as the "time in."

    You can determine if a time pair was edited in the Timecard Manager by clicking the icon in the Status column. If the time pair has been edited, a check mark is displayed in the Edit Flag column of the Time Pair Details window.

  9. In the Description field, enter a brief description of the reason for the Quick Charge.

  10. If necessary, enter a valid earnings code to be applied at the time of the Quick Charge (or use the Lookup button to select a valid code).

    Tip: You do not have to specify an earnings code. If you do not enter an earnings code, the selected employees' default earnings code (or the earnings code already associated with each existing time pair) will be used.

  11. In each labor charge field (for example, Department or Job) for which you want to record a change, enter a valid code to be applied at the time of the Quick Charge (or use the Lookup button to select a valid code).

    Tips:
    The number and names of the available labor charge categories will vary by pay group.

    You do not need to enter values in every labor category displayed. If you leave a labor charge box blank, each employee's default labor charge code (or the labor charge code already associated with the existing time pairs) will be used for that category.

  12. Click the Submit button.

  13. On the New Quick Charge Request Step 3 page, click the Finished button to return to the Recent Quick Charge Requests page.

Notes:
Quick Charge transactions can only be applied to time-based employees.

You can use Quick Charge to perform labor charges for multiple employees at one time, but all of the employees must be in the same pay group.

If you use Quick Charge to record labor charge or earnings code changes after an employee has approved his or her timecard, the approval will be cleared and the employee will have to approve the timecard with the new labor charges and/or earnings code.

You can also use Quick Charge to record in and out times.
