Viewing Employee Time Off Requests |

You can view a list of the time off requests of employees who belong to security groups to which you have access. From this list, you can open a detailed view of any request. By default, the Time Off Requests list displays only the employee time off requests that have been created in the current year and are pending review. However, you can filter the list to display requests from other years and with other statuses. The requests in the Time Off Requests list are displayed in chronological order, with the oldest request at the top.
To view employee time off requests:
From the Time & Attendance menu, select Timecards.
Note: If the Timecards option is not visible, make sure that you have selected Manager in the Role Selector.
Click the Time Off Requests link. This opens a Time Off Requests page that displays the request number, request status, requester name, total hours requested off, start date of the requested time off, request description, and review by date (if specified by the requester) for each of your employees' time off requests. By default, this list is filtered to initially display only requests that are pending review and were created during the current calendar year.
To filter the list to view other requests, click the button in the Status field and select the appropriate status. The possible request statuses by which the list can be filtered are:
All
Pending Review — The request has been submitted but has not yet been reviewed.
Pending Requester Acceptance — The request has been partially approved. The requester has been notified that he or she must either accept the partially approved request or cancel the request.
Approved — The request has been fully approved and the requested non-worked time has been applied to the requester's schedule.
Accepted — The request has been partially approved and subsequently accepted by the requester. The approved time off has been applied to the requester's schedule.
Denied — The request has been denied by the reviewer.
Canceled — The request has already been canceled by you, by another manager or practitioner, by the requester, or by the Time & Attendance module.
To view requests for a different year, click the button in the Year field and select the appropriate year. (This field will not be visible unless at least one employee time off request was created before the current calendar year.)
To search for a specific request by request number, enter the request number in the Find Request Number field and then click the Find button.
To view more detailed information about a request, click the request number for the request (in the left-most column). This opens the Time Off Request page for the specific request. This is basically the same page that employees use to create requests, with some additional read-only fields (for example, Reviewed On, Reviewed By, Reviewer Comments, and Accepted On). The specific fields, data, and buttons that are visible will vary depending on the status of the request being viewed:
If the request is pending review, the page will include an editable Reviewer Comments field and active Approve and Deny columns. Two buttons will be available to allow you approve, deny, partially approve, or cancel the request. (For instructions, see Reviewing an Employee's Time Off Request).
If the review is pending requester acceptance or has been approved or partially approved and accepted, the entire page will be read-only, and a column in the request table will indicate whether each row of the request was approved or denied. A Cancel Request button will be available.
If the review has been canceled or denied, the entire page will be read-only and no buttons will be available.
To return to the list of your employees' requests, click the Time Off Requests link in the menu trail near the top of the page.
