Creating Report Schedules by Copying Existing Schedules |

Copying an existing report schedule is a quick way to create a new schedule for the Time & Attendance module report. When you make a copy, all of the existing configuration settings for the schedule are retained in the new report schedule. You can then customize the settings for the new schedule. Using this copy method saves time and increases accuracy by eliminating the need to manually re-create the settings for a schedule.
To copy an existing report schedule:
From the Reports menu, select Time & Attendance Reports.
Note: If the Time & Attendance Reports option is not visible, make sure that you have selected Practitioner in the Role Selector.
Click the Report Scheduling tab. The Report Scheduling page opens.
Under the Report Schedules section, click the schedule that you want to copy. The Edit Report Schedule page opens.
On the right side of the page, click the Copy button. The page is then refreshed. You will notice that the page looks exactly the same except that the Copy button is no longer available.
At a minimum, you must change the name of the report in the Name field. For example, suppose the report you copied is named "Attendance Report - Development," and you want to create the same report for the Technical Support department. In this example, you might rename the schedule "Attendance Report - Technical Support."
Edit any of the remaining fields and options that you want to change on the page.
When you are satisfied with the configuration settings for the schedule, click the Save button. The new report is then displayed in the list of report schedules on the Report Scheduling page with the new name that you specified in step 5.
Notes:
The following describes the options and fields that you can change (if
needed) when you copy a report schedule:
Name — The name for the report schedule. Give the report schedule
a descriptive name (for example, "Attendance Report - Accounting").
Report (select from My Reports) — The name of the report that is
generated by the schedule. The reports in the list are drawn from your
My Reports list. If you want to
schedule a report that is not in this list, you must first save it in
your list of My Reports. For instructions,
see Creating a Personalized Report.
Time Frame — The time frame for which the data in the report covers.
The time frame selected here overrides the time frame (if any) that you
selected in your saved report. A Define
at Runtime option is not available for automated reports. If you
selected the Define at Runtime
option in your saved report, then the time frame for the report schedule
defaults to the first option listed in this menu. This options may not
be available for some reports.
Recurrence — Determines how often the report is generated. A report
can be generated weekly, monthly, or one time only. The following rules
apply to the recurrence settings:
- To schedule a report to be generated weekly, click the Week
option. From the Run on field,
select a specific day of the week on which the report will be generated.
Use the Run every field to select
if you want the report generated every week (1), every other week (2),
every third week (3), or every fourth week (4). To generate the same report
more than one day a week, you must create a separate report schedule for
each day that you want the report to be generated.
- To schedule a report to be generated monthly, click the Month
option. From the Run on field,
select First day of month, Last day of month, or Specified
day of month. If you select Specified
day of month, the Day of Month
field is displayed. If you select 31
as the day of the month, then the last day of the month is always used
even if there are less than 31 days in the month. If 30 is selected, then
months with 30 days or less cause the report to be generated on the last
day of those months. Use the Run every
field to select if you want the report generated every month (1), every
other month (2), every third month (3), and so on.
- To schedule a report to run only once, select the One
Time Only option. To define a date range that is different from
the date range you selected in the Time
Frame field, click the Define
Date Range check box. You can then use the From
Date and To Date fields
to select a date range. With the One
Time Only option, the report schedule is deleted automatically
after the report is generated.
Range of Recurrence — Determines how long the report schedule is
active. From the Begin running on
field, click the button to
select the date when you want the report schedule to begin generating
reports. From the Stop running after
field, click the
button to
select the date when you want the report schedule to stop generating reports.
The Begin running on field must
have a date entered in it. If you want the schedule to be active indefinitely,
leave the Stop running after field
blank. The following rules apply to the Range
of Recurrence section:
- The Begin running on and Stop running after fields are only
displayed if the Week or Month option is selected.
- If you selected the One Time Only
option, the Run on field is displayed
under the Range of Recurrence
section. Click the button to
select the date on which you want the report to be generated.
Run Time — In the Run report no
earlier than field, enter the time of day when you want the Time & Attendance module to begin
generating the report. The time zone displayed is your default time zone.
ADP recommends that you try to schedule reports to run at night. Reports
can usually be generated faster during this time.
Report Output — The format in which a report is created. You can
select PDF or CSV (comma separated value).
Report Culture — The language used in the report. Only one language
can be selected. This field does not appear if your company is configured
for one culture only.
Recipients — This section allows you to select other Time & Attendance module users
as recipients of the report. The Available
Recipients list includes only those users who have the same or
higher level of security access that you do. Use the
button to add users to the Selected Recipients
list. Use the
button to remove users from the Selected
Recipients list.
The following rules apply to the Recipients
section:
- If the Allow selection of multiple recipients
on a report option
is not selected on the Client Administration Preferences
page, the Recipients section
is not displayed. In this case, you are automatically designated as the
recipient of the report.
- If you select the Do not include me
as a recipient check box, you must select at least one person from
the list of recipients. This check box is only displayed if your company
allows other Time & Attendance module
users to be selected as report recipients.
