Closing a Projected Pay Cycle Pay Period (End of Period Steps 1-7)
Although projected payroll allows you to export payroll data before the end of a pay period, the pay period must remain open until the last day of the period so that employees can continue to record their actual worked hours. Once the pay period end date has passed, you must lock the pay period and "move" or "roll" it forward.
The procedure for closing the pay period is similar to a procedure you followed earlier in the projected payroll process. Before exporting your projected payroll, you performed End of Period Steps 1-5 to identify and correct errors in the pay period data. After the pay period has ended, you must perform End of Period Steps 1-5 again to verify the integrity of any data and changes entered after you ran your projected payroll. You must also complete the remaining End of Period steps to close the pay period. This includes locking the pay period in Step 6 and moving the pay period forward in Step 7.
Note: Although you must work through Step 6: Check Payroll Export in order to lock the pay period and proceed to Step 7, be careful not to run a new payroll export for the pay period during this step. ezLaborManager's Reconciliation feature compares the last export created for the pay period to the actual hours reported by your employees. If you run another export, the reconciliation adjustments created by ezLaborManager will not be accurate, because they will not be based on the exact export you used to generate payroll.
Each step in the End of Period process checks the pay period data for specific types of errors or exceptions. Any issues that need attention are listed on the End of Period pages, along with links, buttons, and/or instructions to help you resolve the issues. Due to the ample on-screen instructions provided on the End of Period pages, only brief descriptions of each step are given below. If you need more details about a step, click the step to see expanded information.
Note: The procedure described below should be performed only after the end date for a pay period has passed. During this procedure you lock the pay period so that no further edits can be made to it. Make sure that all employees have had the opportunity to record their hours for the pay period before starting the steps described below.
To perform End of Period Operations for a projected pay period:
Click the Home tab.
Under the Home tab, click the End of Period link.
From the list of pay cycles on the End of Period page, click the Step-By-Step link for the pay cycle you are closing. The End of Period Operations page opens with Step 1: Check Pending Events displayed.
Notes:
Do not use the Automatically link to run the End of Period steps in
this procedure. Using this link may cause the process to run past
Step 6, which will prevent you from verifying that the correct payroll
export file is listed on the Check Payroll Export page.
The End of Period Operations page contains a series of steps that must
be performed in order. If a step does not apply to your company's
ezLaborManager
configuration, it is marked as "Option Not Available" and
is skipped. You must proceed through the steps in order, although
you can return to a previously completed step.
Note: Employees with Unapproved Timecard exceptions do not have to be resolved.
Note: All time pair exceptions must be resolved before you can move to the next step. After you have entered solutions and/or edited time pairs to resolve all time-pair-related exceptions, click 3. Check Time Pair Exceptions in the menu on the left side of the page to restart the step and verify that all exceptions have been resolved. If no exceptions are found, click the Next Step button.
Note: This step is only available if your company has configured ezLaborManager to track attendance exceptions. If your company does not use attendance tracking, this step is not available. After you click the Next Step button on the Step 3 page, the Step 5: Check Payroll Reconciliation page is displayed instead.
Notes:
If your company has not been configured to use the Reconciliation feature,
this step will be skipped.
If you are processing your first projected payroll for a pay cycle,
there will not yet be any reconciliation records. Reconciliation records
are based on the previous pay period's projected payroll.
On the Step 6: Check Payroll Export page, verify that the projected payroll export you used to generate payroll earlier in the pay period is listed, and then click the Next Step button.
Notes:
Do NOT click the Run Payroll
Export link to create a new payroll export for the pay period. The
Reconciliation feature compares the last export created for the pay
period to the actual hours reported by your employees. If you run
another export, the reconciliation adjustments created by ezLaborManager will
not be accurate, because they will not be based on the exact export
you used to generate payroll.
If no payroll export is listed, you have not yet performed your projected
payroll export. For instructions, see Generating
a Projected Payroll Export.
After you have verified that all applicable steps have been successfully completed, click the Move to Next Period button. The End of Period page opens and shows the status of the pay period as "Move Pending." When the move is completed, the status will change to "Open" and the Current Period and Next Period End dates will be updated.
Notes:
The Move to Next Period button is not available and you cannot move
the pay period until you have clicked the last check box on the Step
7 page to confirm that payroll has been exported.
Clicking the Move to Next Period button closes the pay period permanently.
The pay period changes from being the "current pay period"
to being the "past pay period."
