Note: Attendance exception tracking is an optional feature. If your company does not use attendance tracking, the information on this page will not apply to you.

Most attendance exceptions are created automatically by the Time & Attendance module. These exceptions are based on attendance tracking codes and rules that ADP has configured according your company's attendance policies. You can view and edit these attendance exceptions at any time. As a practitioner you can also manually create attendance exceptions for past pay periods.

To create an attendance exception:

  1. From the Time & Attendance menu, select Maintenance.

    Note: If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Employee heading on the Maintenance page, cClick the Attendance Exceptions link.

  3. On the Attendance Exceptions page, click the Select button (next to the Find button). The Employee ID Lookup window opens. Select the employee for whom you want to create an attendance exception.

    Notes:
    A summary of the employee's recent attendance exceptions and corrective actions by tracking code is displayed. The tracking codes and the default time period for this display are defined by your ADP Time & Attendance Representative based on your company's policies. If your company assigns points to attendance exceptions and corrective actions, the Points column indicates the employee's point total for each tracking code and his or her current total point balance. (If your company has chosen not to display points for the employee, the Points column does not appear on the page.) The Number of Records column indicates the number of transactions for each tracking code.

    Your company may enforce an attendance policy that assigns infraction levels when certain attendance patterns or point totals are recorded. If your company has an infraction procedure, the employee's current infraction level (even if it is "None") will be displayed in the upper right corner of the Attendance Exceptions page.

  4. Click the Add Attendance Exception button near the top right corner of the page. The New Attendance Exception page opens.

  5. In the Attendance Date field, click the Calendar button and select the date on which the attendance exception occurred. This field is required. The date you select must fall in a past pay period.

  6. From the Time Processor Exception drop-down menu, select the type of timecard exception (if any) that is generally associated with the type of attendance exception you are recording. For example, an attendance exception based on the ERLOUT tracking code is associated with the Clocked Out Early timecard exception. This field is optional.

  7. If your company assesses points to attendance exceptions, enter in the Points field the number of attendance points (if any) to be assessed to the employee as a result of this attendance exception. If your company has chosen not to display points for the employee, the Points field does not appear on the page.

  8. In the Attendance Tracking Code field, click the Select button and select from the lookup window the attendance tracking category in which one or more attendance events occurred to cause the attendance exception. The available tracking codes have been set up by your ADP Time & Attendance Representative according to your company's policies. Some examples of common tracking codes include ABSENT and ERLOUT (Early Out). This field is required.

  9. In the Earnings Code field, click the Select button and select from the lookup window the earnings code (if any) that is associated with the attendance events that triggered the attendance exception. For example, your company may create exceptions for excessive sick time. This type of attendance exception is associated with the earnings code your company uses to record sick time. This field is optional.

  10. If you want to specify an edit reason code that is different from your default edit reason code, enter a valid code in the Edit Reason field, or use the Lookup button to select a code.

    Note: If you have set a default edit reason code in your user options, it will automatically be displayed in the Edit Reason field. If you have not set a default edit reason code in your user options, your company's default edit reason code will be displayed in the Edit Reason field.

  11. In the Hours field, enter the number of hours (if any) associated with the attendance occurrence or occurrences that caused the exception.

  12. In the Occurrences field, enter the number of attendance events that contributed to the exception. For example, your company may generate an exception if an employee is late three times in one week. In this case, you would enter 3 in the Occurrences field. This is a required field. You must enter a positive number.

  13. If you want to excuse the exception, select the Excused check box. An excused exception remains in an employee's exception history, but any points usually associated with the exception are not assessed.

  14. In the Note field, enter any additional information you want to record about the new attendance exception.

    Note: Any notes entered here will appear in the Note column of the Attendance Exception Detail page. In addition, if notes were entered for the time pair in the Timecard Manager, those notes will also appear in the Note column on the Attendance Exception Detail page along with the attendance exception notes. However, notes from the Timecard Manager cannot be edited from the Attendance Exception Detail page. They can be edited in the Timecard Manager only.

  15. Click the Submit button.
