Viewing Employees' Benefit Totals and Transactions |
|
As a practitioner, you can view the benefit accrual totals for items such as vacation and sick time for employees who are assigned to security groups to which you have access. You can also view a history of the specific transactions related to each item. Information for benefit accruals is available only if your company has enabled the Time & Attendance module's benefit accrual feature.
To view an employee's accrued benefits:
From the Time & Attendance menu, select Maintenance.
Note: If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.
Under the Payroll heading on the Maintenance page, click the Payroll Adjustment/Unapproval link.
On the Payroll Adjustment/Unapproval page, click the button (next to the Find button). The Employee ID Lookup window opens. Select the employee whose accrual balances you want to view.
On the Payroll Adjustment/Unapproval page, click the Benefits tab. The Benefits tab lists the description, accrual type (hours or monetary) and balance for each of the selected employees benefits.
If you want to view more detailed information about an accrual balance, click the accrual name. The Employee Accrual Balance Detail page opens and displays the accrual type (hours or monetary), last award date, purge date, and year-to-date and total historical balances (grouped by transaction type) for the selected accrual. For a full description of the fields on this page, see the Employee Accrual Balance Detail Page.
To view details about the individual transactions that contributed to an accrual balance, click a balance amount. The Employee Accrual Balance Transactions page opens and displays the transaction history related to the balance you clicked. For a description of the information displayed about each transaction, see Employee Accrual Balance Transactions Page.
Notes:
When your first open the Employee Accrual Balance Transactions page,
it is filtered to display data only for the specific balance you clicked
on the Employee Accrual Balance Detail page. For example, if you click
an amount in the All column, every historical transaction for the
selected transaction type is displayed. Clicking an amount in the
Year to Date column displays only the transactions of the selected
type that occurred in the current year. Clicking the balance in the
All column of the Total Hours Balance (or Total Monetary Balance)
row displays all historical transactions, of all transaction types,
for the accrual you are viewing.
Some accrual transactions are associated with timecard and payroll
records. For these transactions, you can click the value in the Transaction
Type column to open a Payroll Detail pop-up window that lists the
Earnings Code and the Payroll Amount for the transaction.
To change which types of transactions are displayed on the Employee Accrual Balance Transactions page, click the drop-down arrow () in the Specify Type field, and then select a different transaction type. To see all transactions related to the accrual, select All.
To view transactions for a different range of dates, click the drop-down arrow () in the Specify Date Range field and select a predefined date range (for example This Month) or User-Defined Date Range. If you select User-Defined Date Range, use the buttons to enter a starting and ending date, and then click Find.
Notes:
Accrual awards are generated automatically according to a schedule defined
by your ADP Time & Attendance Representative.
The Last Award Date field of the Employee Accrual Balances page indicates
when the last award was made. Most other accrual transactions, such as
adjustments and use of accrual time, are posted immediately.
As a practitioner,
you can adjust employees' accrual balances
as necessary. You can also record accrual cash
out and purchase transactions,
if your company allows these types of transactions.
