Viewing Payroll Distribution and Edit Audit Information for a Time Pair |

By clicking the status icon for a timecard record in the Timecard Manager, you can view detailed information about the time pair. The Time Pair Detail window shows the earnings code distribution of the time pair and a history of the changes made to the time pair.
To check the earnings code distribution and edit audit history of a time pair or payroll adjustment:
From the Time & Attendance menu, select Timecards . Either the Single Employee Timecard Manager or the Multiple Employee Timecard Manager will open, depending upon your Timecard Manager Preferences.Note: If the Timecards option is not visible, make sure that you have selected Practitioner in the Role Selector.
If the Timecard Manager opens in Multiple Employee View, click the Single Employee View link near the upper right corner of the page.
Tip: If the employee whose time pair or payroll adjustment you want to examine is listed in the Multiple Employee Timecard Manager, you can click the button to open the Single Employee Timecard Manager for the employee.
If necessary, use the employee filter and selection tools in the Single Employee View Timecard Manager to navigate to the correct employee.
Tip: You can enter the employee's name in the text box, use the lookup button () to select the employee from a list, or use the navigation buttons ( and ) to scroll through the employees in your currently selected filter. If necessary, use the employee filter button () to change which employees are included in the selected filter or switch to a different filter.
If necessary, use the date selection tools to select date range that includes the time pair or payroll adjustment you want to view.
Tips:
You can use the date selection tools to view timecard information for
any date range, although you can only edit time pairs for dates that
fall within the current or next pay period.
You can use the Pay Date Range drop-down menu to select a pre-defined
time period (such as the current, next, or previous pay period), or
you can use the start and end date fields (or the
buttons) to define a range of dates. If you select a predefined date
range, the Timecard Manager refreshes immediately. If you enter a
start and end date manually or use the buttons,
you must click Find to refresh
the page with data for the dates you have chosen.
Locate the row for the time pair or payroll adjustment you want to view and click the icon in the status column (second column from the left).
A Time Pair Detail pop-up window displays details about the time pair or adjustment. The Distribution section of this window displays how the hours in the time pair or adjustment have been distributed to earnings codes. The table below describes the information shown in this section.
Earnings Code |
The earnings code or codes associated with the time pair or adjustment. |
Pay Date |
The date of record for an employee's time pair or payroll adjustment. In most cases, the pay date will be the actual date the employee worked. However, for payroll adjustments, the pay date will usually be the date on which the adjustment was entered. Since payroll adjustments are made to correct errors in previous pay periods that are already closed, the pay date usually does not correspond to the date for which the employee is actually being paid. Note: The pay date does not necessarily correspond to the exact day the employee will receive payment. In most cases, the employee will be paid for a time pair or adjustment at the end of the pay period that contains the pay date associated with the time pair or adjustment. |
Adjusted Transaction Date |
The date of the event that caused the need for the payroll adjustment being viewed (for example, the date for which the employee was underpaid or the employee’s time pair was not recorded). The adjusted transaction date will usually be in the previous pay period or an even earlier pay period, since errors in the current and next pay periods can usually be corrected in the Timecard Manager before payroll is run and thus would not require an adjustment. Note: This column only applies to payroll adjustment records. |
Hours |
The total number of hours distributed to each earnings code. |
Redistributed Hours (optional feature) |
The total number of redistributed hours. This optional feature allows you to initially approve an employee’s worked overtime hours, then take the hours back if the employee does not meet the minimum hours required for the work week. This ensures that an employee works his or her complete schedule during the week and is a measure to reduce overtime pay. |
Final Hours (optional feature) |
The total number of redistributed hours subtracted from the hours column. |
Pay Rate |
The rate of pay the employee receives for each earnings code. |
Dollars |
The monetary total the employee earned, based on the hours and pay rates for the earnings codes. |
Separate Check Request |
The method by which a payroll adjustment is to be paid. If a check mark appears in this column, a separate check will be generated for the payroll adjustment. If the column is blank, the payroll adjustment will be made to the employee's regular paycheck. Note: This column only applies to payroll adjustment records. |
Note: In some circumstances, the earnings code distribution will include earnings codes that are not explicitly entered on employee timecards. These distributions are made automatically based on rules set up by your company. For example, your company may have a policy of paying an overtime rate for hours over a certain daily threshold. In this case, a single time pair might be distributed to a "Regular" and an "Overtime" earnings code.
To view a history of the edits
that have been made to the time pair or adjustment, click the Edit
Audit History link in the upper right corner of the
Time Pair Detail window.
A Time Pair Edit Audit page opens in another pop-up and displays a
list of all of the edits related to the time pair or adjustment. To
view more detailed information about any edit, click the Date
of Change column for the transaction.
The Time Pair Edit Audit page will expand to show an Edit Audit Detail
section that includes more information about the selected transaction,
including the action that was taken, the reason for the modification,
the date the modification occurred, the user who made the modification,
and the specific values that were changed.
