After you have prepared your pay cycle data so that you can run your projected payroll export, you should also run reports that reflect the state of your data at this point in the projected payroll cycle.

These reports can be used to verify the accuracy of your payroll after you have completed the export and imported it to your payroll processing program. ADP recommends running at least the following two reports:

Note: Your report structure and formats may be slightly different. If you cannot find these reports, or if they are not displaying projected payroll data, contact your ADP Time & Attendance Representative.

• Posting Transaction Error Report (for companies using data collection devices)

  This report lists punch entries that have been made but have not been imported to employee timecards.

  Note: If this report indicates posting errors, make the appropriate corrections to employee timecards and then repeat the prepare for payroll process and rerun this report before performing your export.

  To run this report:

  1. From the Reports menu, select Time & Attendance Reports .

     Note : If the Time & Attendance Reports option is not visible, make sure that you have selected the Practitioner role from the menu in the upper left corner of the page.

  2. In the Report Categories section of the Reports page, click Administrator Reports.

  3. In the list of Administrator Reports, click the button for the Posting Transaction Error Report.

  4. In the Time Frame drop-down box on the Edit Report page, select Define at Runtime.

  5. Click the Preview button at the bottom of the page.

  6. In the Date Range Entry pop-up window, select the start and end date of the pay period for which you are projecting payroll and click the Submit button. The report id displayed in a separate window.

  7. To save the report as a PDF file, use your browser's Save button or Save menu item.

  8. To print the report, use your browser's Print button or Print menu item.

  9. When you are finished viewing the report, close the report window.

• Payroll Detail Report

  This report displays the data that will be included in your projected payroll export, The report contains a summary of each employee's hours, sorted by earnings code. Worked and projected hours are both included in the summary, but are separated by a horizontal bar that clearly indicates when payroll projection started.

  Before running your projected payroll export, use this report to verify that the totals for each employee are accurate. If any errors are evident, make the necessary corrections, repeat the prepare for payroll process, and then rerun this report before performing your export. You may also want to compare the final payroll generated by your payroll system to this report.

  Note: When reviewing these reports, remember that only the projected totals, based on employee schedules, are shown for every day after payroll projection has begun. Even if an employee has already entered time pairs for a projected day, the employee's projected hours are used in the projected payroll export. Any differences between the actual and projected hours will be reconciled after the pay period is closed.

  To run this report (if your company has only one pay cycle):

  1. From the Reports menu, select Time & Attendance Reports .

     Note : If the Time & Attendance Reports option is not visible, make sure that you have selected the Practitioner role from the menu in the upper left corner of the page.

  2. In the Report Categories section of the Reports page, click Administrator Reports.

  3. In the list of Administrator Reports, click the button for the Payroll Detail Report. The report is displayed in a separate window.

  4. To save the report as a PDF file, use your browser's Save button or Save menu item.

  5. To print the report, use your browser's Print button or Print menu item.

  6. Close the report window.

  To run this report (if your company has more than one pay cycle):

  1. From the Reports menu, select Time & Attendance Reports .

     Note : If the Time & Attendance Reports option is not visible, make sure that you have selected the Practitioner role from the menu in the upper left corner of the page.

  2. In the Report Categories section of the Reports page, click Administrator Reports.

  3. In the list of Administrator Reports, click the button for the Payroll Detail Report.

  4. In the Name field on the Edit Report page, add more information about the pay cycle for which you are preparing the report. For example, "Payroll Detail Report - Biweekly Pay Cycle."

     Tip: Since you will save this report format to be used repeatedly, do not include the specific date.

  5. In the Report Title field, add more information about the pay cycle for which you are preparing the report. For example, "Payroll Detail Report - Biweekly Pay Cycle."

  6. In the Select Field drop-down box in the Create a New Filter section, select Pay Cycle.

  7. In the Selected Values field, click the button.

  8. In the Pay Cycle Lookup window, select the pay cycle for which you are preparing projected payroll.

  9. Click the Add Filter button.

  10. Click the Save and Preview button. The report is displayed in a separate window.

  11. To save the report as a PDF file, use your browser's Save button or Save menu item.

  12. To print the report, use your browser's Print button or Print menu item.

  13. Close the report window.

  Note: The report now appears in the My Reports section of the Reports page. The next time you need to run this report, you can simply click the next to the report name you created for the report.
