Generating a Projected Payroll Export |

To prepare payroll before a pay period ends, you must create a projected payroll export that includes actual timecard data for days that have been worked and projected hours for days that have not yet been worked. This export can be created on or after the "Begin Projecting" date defined for your projected pay cycle. If you are unsure what the scheduled projection start date is, check the Projected Pay Cycle Calendar.
Before performing a projected payroll export, you should:
Once the above procedures have been completed, perform the following steps to generate a projected payroll export for a pay cycle:
From the Time & Attendance menu, select Maintenance .
Note : If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.
Under the Payroll heading, click the Exports link.
On the Exports page, click the New Export button on the right side of the page.
In the Description field on the New Export page, enter a short phrase that clearly identifies the data being exported. The description should indicate that the export contains projected payroll and should include the pay cycle name and date (for example, Biweekly pay cycle projected payroll, 6/9/06).
From the Export Type drop-down menu, select the projected payroll export template you created for this pay cycle.
Note: The export template you use must be configured to export projected payroll (not just reported worked time). For more information, see Creating a Projected Payroll Export Template.
In the User to Receive Inbox Message on Completion field, click the button. In the User Lookup window, select the user whom you want to receive the Inbox message when the export is complete. The e-mail notification includes the number of records exported, the number of records skipped due to errors, and an export confirmation number. This field is optional and defaults to the e-mail (if any) specified in the template.
In the E-mail Address for Additional Notification of Completion field, enter or edit the e-mail address to which a notification will be sent when the export is completed. Click the Submit button.
Notes:
If the export has been
successfully processed, the status column will display the icon.
After the export has been processed, the total number of errors
(if any) that occurred during the export appears in the Errors column.
Click the number in the Errors column to see detailed information
for each error. If the errors are not critical to your payroll export,
you can download the exported file without correcting them. If you
need to correct any of the errors in the exported data, delete the export record, correct
all of the errors, and then create a new export file.
When you are satisfied with the export file that contains your pay cycle data, click the Upload button in the Action column. When the Acknowledgement Received message displays, the upload is complete. If an error occurs, click the error link to see more details.
Follow the import procedures for your specific payroll program to import the projected payroll data and generate payroll.
Note: Once your have created a successful projected payroll export and used the import to generate payroll, it is very important that you do not generate any subsequent exports for the pay cycle. If you generate another export, the Time & Attendance module will not be able to reconcile the projected payroll after the pay period is closed.
