Scheduling Reports Overview |
|
As a practitioner you can schedule reports to be generated automatically at defined times in the future. This feature eliminates the need to manually generate frequently used reports. For example, if you need two reports each Monday, you could schedule them to be generated at 1:00 A.M. every Monday morning. The reports would then be ready for you to retrieve each Monday when you log in to the Time & Attendance module.
Any report that you save in your My Reports list on the Reports - Home page can be scheduled as an automated report. You can schedule a report to be generated one time only or on a recurring weekly or monthly basis. Your company may also be configured so that you can designate other Time & Attendance module users as recipients of a report. However, you can only designate other recipients who have the same or higher level of security access as you do. You have the option to exclude yourself as a recipient of a report, but you must select at least one user as a recipient in this case.
After a scheduled report has been generated, all designated recipients of the report receive an Inbox message. The Inbox message notifies recipients that the report is available for viewing. The message includes a link which can be clicked to open the completed report. An e-mail message is also sent to recipients who are set up to receive e-mail messages. For more information, see Setting Preferences for Receiving E-mail Messages .
The following conditions and limitations apply to Report Scheduling:
By default, report scheduling is disabled in the Time & Attendance module. However, as a practitioner, you can enable the feature. For instructions, see Enabling the Report Scheduling Feature. Once the feature is enabled, it is available to all practitioners and managers in your company who have access to reports.
You can access a report for seven days from the time it finishes generating. It is then deleted and can no longer be accessed.
You can create a maximum of 20 report schedules.
If a report is generated three times without a recipient viewing the report, the report schedule is inactivated.
