You can use the Edit Schedule page to create a daily schedule for a single employee for a specific day.

Notes:
You can also use the Edit Single mode on the Daily Schedules tab on the Schedules page to create, edit, or delete a daily schedule for one employee on one day. The Assign Multiple mode on the Daily Schedules tab allows you to create daily schedules for more than one day and/or more that one employee at a time.

Daily schedules override any recurring schedules they overlap.

A daily schedule must include a date in, a time in, a date out, and a time out. You can also associate an earnings code, a lunch plan, a shift rule, a Flextime rule and/or one or two labor charge categories with a daily schedule.

To create a daily schedule for a single employee:

  1. From the Time & Attendance menu, select Schedules.

    Note: If the Schedules option is not visible, make sure that you have selected Manager in the Role Selector.

  2. Depending upon how your system is configured, an employee may have more than one Employee ID. If necessary, adjust the Employee Filter and Schedule Filter until data for the employee to whom you want to assign a schedule is included in the schedule grid. You may also need to use the vertical scroll bar to bring the employee into view.

  3. In the employee (left) column of the schedule grid, click the Monthly Schedule button next to the employee's name. A Monthly Schedule page will open and display four weeks of the employee's scheduled worked and non-worked time.

  4. If necessary, adjust the Monthly Schedule start date until the day for which you need to create a schedule becomes visible. You cannot add a schedule to a date that falls in a past pay period.

    Tips:
    By default, the Monthly Schedule displays the four-week period that begins with the earliest week that was being viewed in the schedule grid. However, unlike the grid on the Schedules page (which can start on any day of the week), the Monthly Calendar view always starts with the day of the week specified as the start day of week for your company.

    The Previous and Next buttons move the Monthly Schedule view backwards and forwards in four-week increments. You can also change the range of dates displayed by selecting a date using the Calendar Lookup button (or by manually entering a date into the date box) and then clicking the Find button. The Monthly Schedule page will refresh and display the four-week period that begins with the week that contains the date you entered. To return to a four-week view that begins with the current week, click the Current Week button.

  5. Click the date cell for the day for which you want to create a new schedule.

    Tip: You can create a daily schedule for a date that already shows a schedule, as long as the new daily schedule does not overlap another daily schedule. A daily schedule can overlap an existing recurring schedule. In such a case, the daily schedule overrides the recurring schedule.

  6. In the left pane of the Edit Schedule page, click New Schedule.

    Tip: If the employee has no schedules for the selected date, New Schedule will automatically be selected.

  7. Enter the Time In and Time Out for the new schedule.

    Tip: The Date In and Date Out fields default to the date you selected in the Monthly Schedule. If the Time Out you enter is equal to or earlier than the Time In, the Date Out will be adjusted to be the day after the Date In.

  8. If desired, use the Lookup buttons to select an earnings code, a lunch plan, a shift rule, a Flextime rule and/or one or two labor charge codes to be associated with the schedule.

    Tips:
    These fields are optional. If you do select or enter values for these fields, they will override the employee's assigned defaults.

    Although your company may use more than two labor charge categories, only two labor charge fields can be associated with a schedule. Your system administrator determines which labor charge fields are available on the Edit Schedule page.

    If your company has chosen not to use the optional Shift Rules or Flextime features, the Shift Rule and Flextime Rule fields do not appear.

  9. Click the Submit button.

    Tip: In most cases, the Total Hours field is read-only. After you click Submit, the Time & Attendance module will figure the total hours for the new schedule, taking into account your company's time calculation and lunch plan rules, and will display the result in this field. If you are using certain earnings codes that are associated with hours, you must enter the total hours rather than an in and out time.
