The Daily Schedules - Edit Single Mode |
|
To access the Daily Schedules - Edit Single mode, select Schedules from the Time & Attendance menu. (If the Schedules menu item is not visible, make sure you have selected the Manager role.) The Daily Schedules page will be displayed by default, with the Edit Single action mode radio button selected.
The Daily Schedules - Edit Single action mode is used to create, edit, or delete a single schedule for a single employee on a single day. Although you can edit only one employee's schedule at a time in this mode, the schedule grid displays scheduling information for all of your filtered employees, allowing you to view the effects of your edits on your staffing levels.
When you create or modify a schedule using this mode, you actually create a daily schedule record (or a schedule deviation). If a daily schedule overlaps with a schedule time pair that is based on a recurring schedule assignment, the recurring schedule will be superseded. You can remove schedule deviations (and thus restore any underlying recurring schedule) using the Daily Schedules - Delete or Restore Multiple mode. For more information about recurring schedules and schedule deviations, see Understanding Recurring Schedules.
The specific tasks you can perform from the Daily Schedules - Edit Single mode include:
Creating a new schedule for a single employee on a single day
Editing an existing schedule for a single employee on a single day
Deleting an existing schedule for a single employee on a single day
For step-by-step instructions on performing any one of these tasks, click the task in the above list. The sections below explain some of the features of the Daily Schedules - Edit Single mode that are common to all of these tasks.
Note: You can view the complete schedules (daily and recurring) for all of your filtered employees from any of the Daily Schedules action modes.
Selecting Cells in the Schedule Grid
When you are in the Edit Single action mode on the Daily Schedules page, you can select only one schedule for one employee at a time. If you select one cell in the schedule grid and then attempt to select another, the first cell will be deselected.
If you select a cell that already contains more than one schedule pair, the Schedules box near the top left corner of the page will display each schedule time pair for that cell. One time pair in the Schedules box will be highlighted, indicating that it is the selected schedule. The properties for the selected schedule are shown in the property sheet (see below). Any actions you take are applied to the selected schedule. To select a different schedule on the selected day, simply click the schedule time pair in the Schedules box.
Using the Property Sheet
When you click a cell in the schedule grid while in the Daily Schedules - Edit Single mode, the top section of the schedule calendar expands to display an editing area, called the property sheet, near the top of the page. The property sheet contains the following information about the selected schedule:
In Date and Time
Out Date and Time
Hours
Earnings Code
Lunch Plan
Department (or other labor charge field name, depending on you company's configuration)
Job (or other labor charge field name, depending on you company's configuration)
Shift Rule (if your company is using this optional feature)
Flextime Rule (if your company is using this optional feature)
You can use the following buttons and features to save and reuse schedule properties, apply changes you have made a schedule, save your changes, cancel your changes, or delete a schedule.
Submit button |
Saves your changes. This button is not available until you have used the Apply button or the Delete Selected button to apply your changes to the grid. |
Apply button |
Applies your changes to the scheduling grid so that you can preview their effects. After you have applied your changes, the affected cells in the grid will be updated to reflect the changes, and a small blue triangle will appear in the bottom right corner of cells that contain unsaved changes. Note: Using the Apply button does not save your changes. Your applied changes are not saved until you click the Submit button. If you navigate out of the Daily Schedules tab without submitting your applied changes, they will be lost. You can remove your unsaved changes, if desired, by clicking the Cancel button. Tip: You can apply multiple changes to the schedule grid (one action at a time) and then click the Submit button to save all of your applied changes at once. |
Delete Selected button |
Deletes the selected schedule. Note: This delete action is not permanent until you click Submit. When you click Delete Selected, the change will be applied to the grid (that is, the selected schedule will be removed) and a small blue triangle will appear in the bottom right corner of the affected grid cell to indicate that an unsaved change exists. To finalize the deletion, click the Submit button. |
Cancel button |
Removes from the grid all of your unsaved changes. Note: This button can only be used if you have used the Apply button or the Delete Selected button, but have not yet clicked the Submit button. |
Quick Shift list and buttons |
Allow you to save up to 15 commonly used schedules and quickly apply them to selected dates or schedules. Quick Shifts function similarly to clipboards or macros in other applications. To save shift information for reuse, enter the shift information into the property sheet fields (or populate the property sheet by selecting an existing schedule with the desired properties), highlight which Quick Shift numbered slot you want the information to be saved to, and then click the button. To apply saved Quick Shift settings to a selected schedule, highlight the desired Quick Shift in the drop-down list and click to upload the settings to the property sheet. Then click Apply to apply the settings to the selected schedule or date. After you have previewed the effect of your change in the schedule grid, click Submit to save your changes. |
