The Timecard provides an easy way for you to quickly view a summary of an employee's timecard, payroll, and supplemental earnings information for any pay period (current, next, or historical).

Note: The information displayed on the Timecard is the same information that your employees can view on the Employee Services My Labor page.

To view an employee's timecard information:

  1. From the Time & Attendance menu, select My Employees. The Timecard tab opens.

    Note: If the My Employees option is not visible, make sure that you have selected Manager in the Role Selector.

  2. Click the Lookup button (next to the Find button). The Employee ID Lookup window opens. Select the employee whose timecard you want to view.

  3. If necessary, use the Date Selection tools to change which pay period is displayed.

    Notes:
    If you select Today or enter a specific date in the date selection fields, the Timecard will display information for the entire pay period that includes the date you have selected.

    The Date Selection for the Timecard defaults to "Today" each time you log in to the Time & Attendance module. If you change the date selection, it will be maintained until you change it again or log out of the Time & Attendance module.

The Timecard at a Glance section of the Timecard will display basic information about the selected employee's actual and scheduled time. The features of the Timecard at a Glance are described in the table below.

Actual rows

 

Display a summary of the employee's reported worked time. Each row represents one week in the pay period and lists the employee's recorded worked time by day. The actual worked time for each day is represented as a single time pair, with any associated earnings code listed in parentheses next to the time pair. The Totals column lists the employee's total worked hours for the week. Clicking the Actual link in a given row opens a Single Employee Timecard Manager for the week displayed on that row.

Notes:
The cells in the Actual rows can show only one set of times per day. If the employee reported two or more work periods on a given day, the Timecard at a Glance Actual row will display the start time of the earliest work segment and the end time of the latest work segment, and the Multiple Time Pair icon will indicate that these times span more than one period of worked time. To view the actual reported work periods, click the date in the column header to view a Single Employee Timecard Manager for that day.

For hours-based employees, the start and end times of the time pairs reflected in the actual row do not necessarily represent the actual working times of the employees. These time pairs are created using a default start time. The out time is calculated by adding the hours-based employee's reported hours to the start time.

If a payroll adjustment has been made to the employee's timecard on a day when the employee has no actual time pairs, the words "Payroll Adjustment" will appear in the Actual row for that date.

Schedule rows

Display a summary of the employee's scheduled worked time. Each row represents one week in the pay period and lists the employee's scheduled worked time (if any) by day. The scheduled time for each day is represented as a single time pair, with any associated earnings code listed in parentheses next to the time pair. The Totals column lists the employee's total scheduled hours for the week. Clicking the Schedule link opens the employee's monthly schedule.

Note: The schedule summaries on the Timecard at a Glance can only show one schedule per day. If the employee is scheduled for two or more distinct work segments on a given day, the start time of the earliest work segment and the end time of the latest work segment are displayed and the Multiple Schedule icon indicates that these times span more than one scheduled work segment.

View Edit Audit History link

Opens the Time Pair Edit Audit window for the pay period being viewed.

 

Notes:
The Payroll Summary section that appears below the Timecard at a Glance displays payroll and earnings information for the same pay period being displayed in the Timecard at a Glance. If your company uses supplemental earnings and the employee has earned or reported supplemental earnings for the period being viewed, a Supplemental Earnings Summary will also be displayed. The Timecard at a Glance, Payroll Summary, and Supplemental Earnings Summary can also be viewed by clicking the Timecard button on the Group Labor page.  

If your company allows or requires employees to approve their timecards, the approval status of the timecard will be indicated in the Payroll Summary section of the Timecard. You can clicking the Timecard Approval History link in the Payroll Summary section header to display a history of the dates and times at which the employee explicitly approved or unapproved the timecard.

The Timecard is designed for viewing information, You cannot edit records directly from the Timecard. To edit or create a time pair from the Timecard, click an existing time pair or an Actual link to open a Timecard Manager on the corresponding day or week.
