The exports created by the Time & Attendance module can only be generated for the current pay period. For this reason, it is important to remember to run any exports you need for a pay period before moving a pay period. When a pay period is moved, the period that was the "current pay period" becomes the "past pay period," and you can no longer create an export for it.

If your company exports time and attendance data to a payroll system, it is important to run a payroll export just before moving a pay period forward. To help you remember to do this, the End of Period interface includes steps that allow you to run a payroll export as you are performing your end of period and payroll preparation tasks. As a further precaution, your ADP Time & Attendance Representative can also configure your pay cycles so that a pay period cannot be moved if a payroll export has not been run for that pay period.

Note: If your company uses the Time & Attendance module Accrual feature to export accrual data, you may also need to run an accrual export during end of period operations. Although you can use the procedure below to run an accrual export, the End of Period interface only checks for payroll exports.

To run a payroll export while performing End of Period operations:

  1. From the Time & Attendance menu, select Maintenance.

    Note: If the Maintenance option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. Under the Payroll heading, click the End of Period link.

  3. In the list of pay cycles on the End of Period page, click the Step-By-Step link for the pay cycle you want to prepare payroll for and then move.

    Note: Do not use the Automatically link to run the End of Period steps in this procedure. Using this link may cause the process to run past Step 6, which will prevent you from verifying that the correct payroll export file is listed on the Check Payroll Export page.

  4. Follow the on-screen instructions for End of Period steps 1 through 5.

    Tips:
    Some steps may be unavailable if your company is not configured to use certain features (such as Projected Payroll). If a step does not apply, the interface automatically guides you to the next step.

    For more detailed information about all of the End of Period steps, see Performing End of Period Operations Overview .

  5. If one or more payroll exports are listed in the Check Payroll Export section when you reach step 6, take note of the date and time of the exports to determine if one of the existing exports contains current and accurate information. If you do not need to run a new export, click the Next Step button and continue following the on-screen instructions to complete your End of Period Operations. You do not need to continue with the rest of the procedure given below.

    Note: The payroll export check only checks for the existence of payroll exports. It does not verify that the exports are current or error-free. You may want to view the export record to see a summary of the export information, or simply run a new export using the steps below. The payroll export check also does not check for accrual exports.

  6. If you are uncertain whether the existing payroll exports contain all of the most recent data for the pay period, or if no payroll exports are listed, click the Run Payroll Export link to create a new export. The New Export page opens.

  7. In the Description field, enter a short phrase that clearly identifies the data you are exporting. This is a required field.

  8. From the Export Type drop-down menu, select the template you want to use for the exported data. This is a required field.

    Tip: Export templates have been set up for you by your ADP Time & Attendance Representative for each pay cycle used by your company. You can create new templates for exporting time and attendance data or accrual data , as necessary.

  9. In the User to Receive Inbox Message on Completion field, click the Select button. In the User Lookup window, select the user whom you want to receive the Inbox message when the export is complete. The e-mail notification includes the number of records exported, the number of records skipped due to errors, and an export confirmation number. This field is optional and defaults to the e-mail (if any) specified in the template.

  10. In the E-mail Address for Additional Notification of Completion field, enter or edit the e-mail address to which a notification will be sent when the export is completed. The e-mail notification includes the number of records exported, the number of records skipped due to errors, and an export confirmation number. This field is optional and defaults to the e-mail (if any) specified in the template.

  11. Click the Submit button.

    Notes:
    After you click the Submit button, the Exports page opens. The export you created appears first in the list of exports with the Unprocessed icon in the status column, indicating that the export process has not yet begun. After a few minutes, click the Exports menu item on the left side of the page. The status column displays the Processed without Errors icon if the export completed successfully. For a description of all of the status icons and each column on the Exports page, see The Exports Page .

    After the export has been processed, the total number of errors (if any) that occurred during the export appears in the Errors column. Click the number in the Errors column to see detailed information for each error. If the errors are not critical to the exported data, you can continue with your end of period operations. If you need to correct any of the errors in the exported data, delete the export record , correct all errors, and then create a new export file.

  12. After you are satisfied that you have created a current export with no errors (or only inconsequential errors), click the End of Period Operations link in the You are here breadcrumb near the top of the page to return to step 6 of the End of Period Operations page. The export you just created is listed in the Check Payroll Export section.

    Tip: If the export is not listed, wait a few minutes and then click Check Payroll Export in the left menu to refresh the page.

  13. Click the Next Step button and continue to follow the on-screen instructions to complete your end of period operations.
