If you have a regular or pre-arranged schedule for loaning your employees' time to other managers, you may be able to use schedules to simplify the process of recording loaned time. If you assign a scheduled work segment to an employee loan category, when the employee records his or her worked time for the segment, it will be assigned to the scheduled labor category by default (unless the employee enters a different category). The borrowing manager will be able to view the loaned employee's schedule.

To schedule loaned time, you simply associate a scheduled time pair with a labor charge field value that has been configured for employee loan and is associated with another manager.

Note: The procedure below describes how to use the Edit Schedule page to assign a single employee to work one work segment for another employee. You can also perform this task from the Daily Schedules - Edit Single page. You can create multiple employee loan schedules (for multiple employees or for multiple days) using the Daily Schedules - Assign Multiple page.

To use the Edit Schedule page to schedule a single employee to work for another manager:

  1. From the Time & Attendance menu, select Schedules. The Daily Schedules tab will be displayed by default.

    Note: If the Schedules option is not visible, make sure that you have selected Manager in the Role Selector.

  2. Depending upon how your system is configured, an employee may have more than one Employee ID. If necessary, adjust the Employee Filter and Schedule Filter  until the employee whose time you want to loan to another manager is visible in the schedule grid. You may also need to use the vertical scroll bar to bring the employee into view.

  3. In the employee (left) column of the schedule grid, click the Monthly Schedule button next to the employee's name. A Monthly Schedule page will open and display four weeks of the employee's scheduled worked and non-worked time.

  4. If necessary, adjust the Monthly Schedule start date until the date (or date range) for which you want to schedule loaned time becomes visible. You cannot schedule loaned time for dates that fall in past pay periods.

    Tips:
    By default, the Monthly Schedule displays the four-week period that begins with the earliest week that was being viewed in the schedule grid. However, unlike the grid on the Schedules page (which can start on any day of the week), the Monthly Schedule view always starts with the day of the week specified as the start day of week for your company.

    The Previous and Next buttons move the Monthly Schedule view backwards and forwards in four-week increments. You can also change the range of dates displayed by selecting a date using the Calendar Lookup button (or by manually entering a date into the date box) and then clicking the Find button. The Monthly Schedule page will refresh and display the four-week period that begins with the week that contains the date you entered. To return to a four-week view that begins with the current week, click the Current Week button.

  5. Click the date cell for the day for which you want to schedule loaned time.

    Tip: The Monthly Schedule page can display only one scheduled time pair per day. If the employee has already been assigned multiple schedules for a day, the Multiple Schedulesicon will appear next to a single time pair that is made up of the employee's earliest scheduled in time and latest scheduled out time for the day. Click the date cell to open the Edit Schedule page, from which you can view and edit each separate schedule.

  6. In the left pane of the Edit Schedule page, click the time pair representing the schedule you want to assign to another manager. Or, if you want to create a new schedule, click the New Schedule link.

    Tip: If the employee has only one schedule for the day, it will automatically be selected.

  7. Edit the Time In, Time Out, Earnings Code, Lunch Plan, Shift Rule, Flextime Rule and Total Hours fields as appropriate. (See Creating a Daily Schedule for a Single Employee (Edit Schedule Page) for more information.)

  8. In the Labor Charge Fields section, locate the labor charge category that has been configured for employee loan and use the Lookup to select the code to which you want to charge scheduled time.

    Notes:
    Only one labor category is available for employee loan for each time entry plan. If you do not know which labor category to use to loan your employees, contact your system administrator.

    Each code that is available in the lookup window for the employee loan category is assigned to no more than one manager. If you select a code that is assigned to a manager other than yourself, the employee will be scheduled to be loaned to that manager, and that manager will have limited access to the employee's records.

  9. Click Submit.

Note: Schedules can only be associated with two labor charge fields, which are displayed on the Edit Schedule page. If your company uses more than two labor charge fields, the labor charge category that is configured for employee loan may not be visible on the Edit Schedules page. In this case, you will not be able to schedule loaned time. If you are unsure which labor charge category has been configured for the time entry plans used by your employees, contact your system administrator.
