As a practitioner, you can view payroll summary information for employees who are assigned to security groups to which you have access. The Payroll Summary pop-up window displays an employee's recorded hours, sorted by earnings code, for a specified period of time. If your company stores rate information, the Payroll Summary window also displays the employee's monetary totals for each earnings code.

To view payroll summary information for an employee:

  1. From the Time & Attendance menu, select Timecards . Either the Single Employee Timecard Manager or the Multiple Employee Timecard Manager will open, depending upon your Timecard Manager Preferences.

Note : If the Timecards option is not visible, make sure that you have selected Practitioner in the Role Selector.

  2. If the Multiple Employee Timecard Manager opens, click the Single Employee View link near the upper right corner of the page to view the Timecard Manager for one employee. If the single employee Timecard Manager opens, skip this step.

  3. On the Timecard Manager, click the Select button (next to the Find button). The Employee ID Lookup window opens. Select the employee whose payroll summary information you want to view. The Timecard Manager refreshes and displays information about the selected employee.

  4. If necessary, use the Pay Date Range selection tools to change the range of dates for which information is displayed.

  5. Click the Payroll Summary link above the table of timecard data. A Payroll Summary pop-up window opens and displays the employee's recorded hours by earnings code and the employee's total hours for the date range you selected in the Timecard Manager.

Note: If your company stores rate information in the Time & Attendance module, the employee's monetary totals by earnings code and total payroll earnings for the selected date range are also displayed.

  6. To view more detailed information about the employee's hours and earnings in a particular earnings category, click the appropriate row in the Payroll Summary table. Another pop-up window displays detailed information about all of the transactions during the specified date range that used the selected earnings code.

Notes:
If you are viewing Timecard information for the current or next pay period, the Payroll Summary includes a message that indicates the processing status of the employee's timecard for the pay period being viewed. If the status message indicates "Timecard Submitted for Processing," The Time & Attendance Module has not completed processing all of the timecard data, so the payroll summary information may not be completely up-to-date. In this case, close the pop-up, wait a few minutes, and then click the Payroll Summary link again. If the status message indicates that there are errors on the timecard, use the Timecard Manager to view more information about the errors. Status information is not provided for pay periods that have been closed.

The Payroll Summary itself does not include supplemental earnings. If your company uses supplemental earnings and the employee has earned or recorded supplemental earnings for the date range being viewed, a Supplemental Earnings Summary is displayed next to the Payroll Summary.

The Payroll Summary pop-up window that opens from the Timecard Manager displays payroll information for the specific time period being viewed in the Timecard Manager. You can also view payroll summary information on the Payroll Summary sub-tab of the Payroll Adjustments and Unapproval page. This tab displays payroll summary information by pay period only.

As a practitioner, you can also view the earnings code and payroll distribution of your employees' individual time pairs. See Viewing Payroll Distribution Information for a Time Pair.
