The Setup and Maintenance Pages |
|
Two of the Time and Attendance module's menu options, Setup and Maintenance, provide access to the tools you need to perform essential administrative tasks, such as managing employees and users, processing payroll, importing data, and configuring codes and programs used elsewhere.
Note: Some of the features described below are not available to all companies.
The sections below provide a brief summary of the tasks associated with each menu option. For detailed information about performing a task, click the link in the left column.
Selecting the Setup menu option opens the Setup page, which includes links that are grouped into the following sections:
Users
Allows you to assign employees to security groups. Security group assignments control who can access employee records. |
|
Allows you to change user passwords at any time. You may do this periodically for security reasons, or you may be asked to do this if a user forgets a password. |
|
Position Codes |
Allows you to view, assign, and add position codes for all employees. Clicking on the Position Codes link will display a list of the position codes available. It will list the code, description and whether the position code is active. |
Allows you to reactivate access rights for employees who may be inactive due to a leave of absence or login problems. |
Labor Charge Fields
Labor Charge Fields (actual link names represent the labor charge categories used by your company) |
Allows you to define and edit the values that are accepted for the labor charge fields used by your company. For example, if your company uses the Wage Rate Programs labor charge field, a Wage Rate Programs link appears on the Setup page. You can use this link to view and edit which specific wage rate programs can be entered in the Wage Rate Programs labor charge field. |
Dates
Allows you to create, view, and edit holiday programs and holiday dates. A holiday program is a series of specific holidays for which your company awards holiday pay. Your company may use multiple holiday programs to award different holidays to different employees. |
|
Allows you to configure pay cycles for projected payroll. You can also view and edit the calendar that determine when payroll projections occur. Projected payroll allows you to prepare and export payroll before a pay period ends. |
General
Allows you to configure company-wide settings associated with reports, calendars, timecard approvals, and e-mail suggestions. |
|
Allows you to configure the display order and customize the content of automated Inbox and e-mail messages that are sent to all employees. |
Phone Access
Allows you to change an employee's pin access. |
Timeclocks
Allows you to name the timeclocks that will be used by your company and assign employees to specific timeclocks. |
|
Allows you to create groups of timeclocks to which employees can be assigned. A logical timeclock group might include all of the timeclocks in a particular building or on a particular floor. |
Mobile
Allows you to create a set of geographical restrictions for ADP Mobile Solutions that will determine if an employee’s time entry will be accepted. |
|
Allows you to restrict time frames (before or after the scheduled time) that an employee can clock in or clock out via ADP Mobile Solutions. |
Selecting the Maintenance menu option opens the Maintenance page, which includes the following sections:
Timecard
Allows you to initiate the immediate reprocessing of an employee timecard. You may need to do this if something (such as an employee's pay class assignment) has changed in an employee's system configuration. |
Employee
OR Employees |
Allows you to add employee positions to your database, record basic employee information, and configure employee settings such as service dates, employee rates, security group assignments, and employee status. |
Allows you to view and manage employee accrual balances (such as vacation time, sick time, or floating holidays). |
|
Allows you to view and adjust employee accumulator balances. An accumulator tracks how many hours or days an employee has accumulated in one or more earnings codes. |
|
Allows you to view information about and configuration settings for terminated employees. You can also edit the security groups to which a terminated employee is assigned and reactivate terminated employees. |
|
Allows you to view employees' attendance exceptions and infraction levels and record attendance exceptions and corrective actions. |
|
Your company may make temporary changes to an employee’s badge number, manager, department, or time zone assignments. As a practitioner, you can view any active changes that are in effect by accessing the Employee Changes page. |
|
Displays a list of time off requests. By default, only requests that are pending review and were created in the current calendar year are displayed, but you can filter the list to show requests from other years and with different statuses. You can click the Request Number for a specific request to view the details of the request and, if appropriate, approve, partially approve, deny, or cancel the request. |
Payroll
Allows you to compile employee time and attendance data or accrual data into export files that you can download and then import to external applications (such as payroll or human resources programs). |
|
You can view an employee's scheduled pre-paid time off or add new scheduled time off. |
|
Allows you to view payroll summary, timecard, and benefit information for employees and perform payroll adjustments and approvals/unapprovals if necessary. |
|
Allows you to reconcile the projected hours used to generate an employee's payroll with the actual hours worked by the employee and adjust the employee's next payment accordingly. |
Imports
Allows you to import data from an external system. You can import data for departments, security groups, employees, users, and accruals. |
